2018 Enrollment Information

Direct Debit Monthly Auto Payments
As part of our continued move to simplify and streamline processes, we are making a change to our billing and payments process. We have moved to a direct debit method of payment with monthly class fees billed rather than the issue of term invoices. We will be using the services of our current banking institution Westpac and payment gateway provider PayWay, so you can be assured of security of your credit & debit card details in line with legislation. On the 15th of every month, the monthly class charge will be added to your iClass account and on the 1st of the following month, we will automatically debit your card for the amount outstanding. For this deduction to occur, we require you to input and save your card details into your account on the iClass Parent Portal. Below are the steps involved in logging onto the parent portal and entering your card details.

  1. Go to our BTYC website http://www.btycgymnastics.org.au/
  2. Click on the Parent Portal and click on Parent Login.
  3. If you haven’t logged in recently and have forgotten your password – Click on ‘Forgot Password?’ & follow the steps to have a password issued. A new password will be sent to your email address.
  4. Use this new password to log in with your email address – you can then later change your password to one of your choice.
  5. Once the rules and policies have been accepted (if logging on for the first time), you can go into the sections on the left-hand side menu to update any family and student information, view your account and previous
  6. To provide your card details – go to the section on the menu titled “Payments” and then “Manage Payment Options”.
  7. In the drop-down box “Form of Payment”, select ‘Credit/Debit card’. Fill out the required fields and then select “Submit Payment Information”. Your card details are secure with only the last 4 digits
  8. You can log in whenever you wish to view your account. The Logout button is at the top right of the screen.

One-off charges such as competition fees/event fees will be charged to your account separately from the monthly class fee and this charge will be communicated to you. You can pay for these directly yourself via the Parent Portal or alternatively on the 1st of the month, the full amount outstanding on your account will be taken from your stored card. Please log into our parent portal now to view your account and add your card details (or check your existing stored card details). New Members

The following instructions are for new members of BTYC. If you have attended classes with us before you will already have an account and you’ll need to follow the instructions for existing members further below.

Creating a New Account

To create a new account click HERE. Fill out all of your details including; responsible parties, e-mail address, create a new password, contact phone numbers, address and how you heard about us, then click ‘Create Account’. Once you have done this you will receive a confirmation e-mail, confirming that your account has been created. Next you must acknowledge and agree to our policies. Please review these polices and check “I acknowledge and agree” to all 3 sections and click ‘I acknowledge and agree to all policies’. Then add in the students details, including medical information if needed and click ‘Save Student’. Then you can either add more students by clicking ‘Add New Student’ and repeating the last instruction, or request an enrolment into 1 of our classes by clicking ‘Enroll in Class’. Please follow the instructions below under ‘How to enrol your child into 2019 classes’ to enrol

How to enrol your child into 2019 classes

Visit www.btycgymnastics.org.au Log into the Parent Portal. Click on ‘Classes’ (left hand side of screen).

  • For Recreation and Kindergym gymnasts, click on the ‘Programs’ tab first, then the ‘Level’ tab. Select the relevant level as advised by a BTYC staff member or in your recommendation letter if you are a returning member. (DO NOT CLICK ON ANY OTHER FILTERS). Click ‘Submit’.
  • For Squad gymnasts, please click ‘Programs’ and ‘Submit’ only. (DO NOT CLICK ON ANY OTHER FILTERS).

Once you have found the class you have been recommended for – select which day and time you would like to enrol in and click ‘Submit Request’. For squad gymnasts, you will just need to select the squad class as advised on your recommendation letter. Leave the student type as Active. Select the ‘Student’ that you would like to enrol and click ‘Continue Enrollment’. Then click; ‘Add to Cart ‘, ‘Proceed to Checkout’, ‘Continue’ and ‘Complete Transaction’  Once you have clicked Complete Transaction a print page will appear giving you the option to print your request. This page is also a confirmation that you have successfully requested an enrolment. If you need to enrol more than one child in your family, do this after you have added your first child to their class. This step is done after you click ‘Add to Cart’ – check the box ‘Find another class’ and follow the above instructions again. Please note, that you are not required to pay for your 2019 class fees at this stage. This is just the enrolment request process. Please ensure your 2018 account is paid up to date if not on Autopay. Once you have completed your class request, you will be sent an automated e-mail with further instructions. If you do not receive this e-mail please contact our office. After your request has been approved by BTYC, you will be sent another e-mail confirming your enrolment. To secure your place in this class for 2019 you will be required to pay membership and insurance. This charge will be applied to the parent portal within 48 business hours after approval and must be payed within 7 days (if not on Autopay) of the invoice date to secure your place. Autopay will be deducted immediately. Payment can be made online in the Parent Portal. (Please note that your Autopayment details on file will be used to pay your 2019 Membership Fee.)

How to make a Payment

Under ‘Payments’ you have the choice to ‘Make a Payment’, ‘View your Transaction History’ or ‘Manage Payment Options’. payments btyc Select ‘Make a Payment’ and a list of outstanding charges will appear. Click the box next to the charge(s) you would like to pay: Select ‘Credit/Debit Card’ as the Form of Payment, enter your credit/debit card details and click ‘Submit Payment’. A receipt will be emailed to you as confirmation of your payment. Depending on your banking institution, the charge may take several days to appear on your bank statement. Under the ‘View Transaction History’ tab, you are able to view all of your charges and payment history. Under the ‘Manage Payment Options’ tab, you are able to add credit card details and setup auto payment.

Existing Members

Please follow the instructions below to access your Parent Portal account on iClass. All current members already have an account. Please do not create a new account!

Accessing your Parent Portal Account

To access the Parent portal click HERE. To login for the first time you need to get a password for your account. You need to click ‘Forgot Password’. Type in your e-mail address (the one your BTYC statements get sent to) and click ‘Reset Password’. This will send a new password to that e-mail address. (If you don’t think we have your correct e-mail address or your e-mail address has changed since enrolling with BTYC, please advise our office staff). password btyc Then log into the Parent Portal with your e-mail address and your new password. You will be able to change your password once you have logged in. account The first time you login, you will be required to read and accept the BTYC policies to continue. Then click on the ‘Family’ tab (left side of screen) to review and update your contact details. Please change your password by clicking ‘Change Password’ under ‘Family’ tab.  family change password Next click on the ‘Students’ tab and review the details and medical information for each of your children & update if necessary.

Enrolling a new sibling

If you are enrolling a sibling who has not been a member: Click ‘Add New Student’ and enter their details, then request a class by clicking ‘Enrol in Class’. If you are unsure of the appropriate class please contact the office. Once you have completed your class request, you will be sent an automated e-mail. If you do not receive this e-mail please contact our office. After your request has been approved by BTYC, you will be sent another e-mail confirming your enrolment. If you select an incorrect class your enrolment will be denied. Within 48 hours of your request being approved, your charge for membership and insurance will be applied to the parent portal and must be payed within 7 days.
